Using CampusGroups for Attendance Swiping

Fast Facts

  • You will first need a group in CampusGroups for your department. If you don't already have one, and determine that you will want one, please see the information below about how to acquire a group
  • CampusGroups is compatible with card swipers that are connected to a laptop or desktop ONLY. It is not compatible with swipers connected to a phone. However, there are other ways to take attendance with a phone in CampusGroups.
  • You will need to train yourself to use CampusGroups. We do not currently have dedicated support personnel on campus to help you to get set up and manage your events. There are several self-guided resources available below.
 
  • STEP 1- CREATING A GROUP

    In order to create a group for your office or department, please send an email to campusgroups@cornell.edu with the following information:

    • Name of the group
    • A group acronym (anything over 3 letters- would be used in CG to identify the group and as a website URL if you use the CG web builder)
    • Names and NetIDs of any folx who will need officer access to manage the group (note that anyone taking attendance with card swipers will need to be listed as an officer)
    • An external website URL if you'd like it connected

Frequently Asked Questions

Can I determine the age of my attendees by swiping their card?

When you swipe the card of an attendee with a computer, a message will pop up that says "under 21" for users who are not yet 21 years of age. If you are taking attendance without card swipes, this message does not pop up as visibly. However, you can restrict registrations to only users with the Over 21 Tag and that will prevent those who are not yet 21 from checking in. We recommend testing this before an event so you know what it will look like.

Where can I pull reports on my attendance data?

You can find several different attendance reports in CampusGroups. You can go to the manage page for any event and pull an attendance report. You can also go to the Events page from your group's dashboard and pull attendance reports for all events or a bulk number of events. Lastly, under the dashboard menu for your group, there is a reporting feature that has additional reports available.

What if I'm using a computer to swipe people in and need people who are not officers to work the event?

If you are using a computer for check in, only officers are eligible to check people into the event. You will need to add any volunteers as officers, but you do have the option of changing their officer permissions so that they only have access to manage events and cannot make any other changes to your group. We would recommend adding them only for the period they will need access to take attendance and then removing their permissions. (Note that if you are taking attendance from a phone instead, you can add them as team members to the event and they do not need officer permissions).

What else can I do with CampusGroups?

CampusGroups can be used for file storage/ management, communication via emails, push notifications, and the group feed, and much more. You can learn about the top tools by watching this short video.
